- What is Total Ops?
- Total Ops is an AI platform that connects to your WhatsApp Business number, your shared email inbox and your website chatbot. It reads every incoming enquiry, works out what the customer actually wants, and then carries out the task behind that request — building a priced quote, holding a booking slot, raising an invoice, or attaching the right examples and spec sheets.
- The architecture is agentic rather than conversational. Each enquiry becomes a plan of steps, each step is a real tool call into a real system, and each result is checked before the customer sees anything. The measurable output is completed actions inside your own tools, each one logged with a full audit trail.
- How is Total Ops different from a chatbot or an autoresponder?
- This is the difference that matters, so it is worth being blunt. An autoresponder sends an acknowledgement. A chatbot sends a sentence. Neither of them changes anything in your business — after both of them run, the actual work is still sitting on someone's to-do list.
- Total Ops finishes the work first and writes back second. The quote exists as a PDF priced from your rate card. The appointment exists in your diary with travel buffers respected. The invoice exists in your accounting software with a payment link attached. The case notes exist on the customer record.
- So the reply your customer receives is a report on work that has already been done — not a promise that somebody will look into it. If nothing in your systems changed, we do not count the enquiry as handled.
- What does "actioning" actually mean in practice?
- A concrete example. A WhatsApp message arrives: "Can you do a full boiler service on a 3-bed in Didsbury next week, roughly how much?" An autoresponder replies "thanks, we'll be in touch". - Is this just an LLM wrapper?
- No. We use artificial intelligence and large language models for the part they do well — reading messy human language, extracting intent and drafting in your tone — and we do not use them for anything they are bad at. Machine learning is applied only to improve from your corrections, never to train shared models.
- Prices come from your rate card, not from a model. Availability comes from your live calendar. Customer history comes from your CRM. Around the AI sits the part that actually matters: retrieval over your own documents, structured tool calls into your systems, validation of every field before it is written, confidence and value thresholds, and a full log of what happened. The language model narrates; your data decides.

- Which channels does Total Ops cover?
- We deliberately focus on the three channels where enquiries actually land: WhatsApp Business, email (shared or individual inboxes), and your website chatbot or web forms. We would rather do those three completely than do eight of them shallowly.
- Enquiries are threaded by customer rather than by channel, so a WhatsApp message and a follow-up email from the same person land on one record with one history.
- How does AI fit into what Total Ops does?
- AI — artificial intelligence and machine learning — handles the parts of the job that need judgement at speed: reading messy human language, extracting what someone is asking for, interpreting photos and documents, and drafting replies in your tone. The actual decisions are anchored to your own data.
- That means prices come from your rate card, availability comes from your calendar, and history comes from your CRM. The AI reads and reasons; your systems authorise the outcome. Every AI-driven action is logged, thresholded and reversible.
Setup and onboarding

- How long does setup take?
- Typically a single working day. Connecting the WhatsApp Business number, forwarding the shared inbox, dropping the chatbot snippet on your site and syncing the calendar takes under an hour. Uploading your rate card, past quotes, spec sheets and case studies takes the rest.
- The first week runs with tighter approval thresholds so you can review outputs before they send, then autonomy is widened where you are comfortable.
- Do we need to change our phone number or email address?
- No. We connect your existing WhatsApp Business number and forward your existing inbox. If you would rather test carefully, we can provision a separate number and route a portion of traffic to it.
- How does it learn our prices, tone and examples?
- During onboarding you upload your rate card, historic quotes, terms, spec sheets and case studies. Those become a retrieval layer the AI agent must quote from — it never invents a number, and if the material does not cover a request it escalates instead of guessing.
- Tone is matched from your previous replies using machine learning. Any correction you make is captured and reused on the next similar enquiry, while your data stays inside your account.
- What do we need to prepare beforehand?
- A current rate card or price list, a handful of quotes you were happy to send, access to the calendar you book into, and the login for your accounting tool if you want invoices raised. Nothing else.
Accuracy, control and oversight
Because we take real actions, the controls around them are the product.
- What happens if it gets something wrong?
- Every action is logged, exportable and reversible. Confidence thresholds route anything uncertain to a person rather than guessing, and value thresholds hold high-ticket quotes in an approval queue until you sign them off.
- When you edit an output, the edit is captured and reused through machine learning, so the same mistake does not recur. We also run evaluation sets per action type, so accuracy is measured rather than assumed.
- Can we control what it is allowed to do on its own?
- Yes, and you should. Autonomy is configured per action type and per value. A common configuration sends quotes under a set value automatically, holds anything above it for approval, and never issues refunds, discounts or contractual commitments without a human.
- Will customers know they are not speaking to a person?
- We are upfront in the first reply. The tone stays plain and useful rather than performatively human, and anything sensitive, emotional, contractual or simply unusual is escalated to a person immediately with the full context attached.
- What happens outside working hours?
- Enquiries are handled as they arrive, including overnight and on bank holidays. Anything requiring your sign-off waits in the approval queue and appears in a morning brief — so nothing is left unanswered, and nothing is decided without you.
- Can it read attachments?
- Yes. Photos, PDFs and spreadsheets attached to a message are read and interpreted, so a photo of a failed boiler or a spreadsheet of quantities becomes a structured, priced job before anyone has opened the inbox.

- Yes — and this is why we can action rather than just answer. Total Ops connects to accounting software such as Xero, QuickBooks and Sage; CRMs such as HubSpot, Salesforce and Pipedrive; calendars and scheduling via Google Workspace, Microsoft 365 and Calendly; payments via Stripe; commerce via Shopify; and anything else through Zapier.
- Quotes, bookings and invoices land in those systems directly. There is no separate dashboard your team has to remember to check.
- Where is our data stored and is it used to train shared models?
- Data is stored in the UK, encrypted with AES-256 at rest and TLS 1.3 in transit, and is never used to train shared or third-party models. Your rate cards, documents and customer history stay yours. You can export or delete everything on request; full detail is on the compliance page.
- Is Total Ops GDPR compliant?
- Yes. There is a documented lawful basis for each processing activity, a Data Processing Agreement for every customer, data minimisation by design, and full support for erasure and portability requests.

- The pattern across live deployments is more enquiries converted, because a completed quote lands while a competitor is still typing an acknowledgement, and a meaningful block of admin hours returned to the team each week.

- Do you offer a paid pilot?
- No — we do not run paid pilots. You can put your own business information into the live demo on the home page and see real actioning behaviour before you speak to anyone, and onboarding starts on a single channel with tight approval thresholds so you are reviewing real outputs from day one.
