What is Total Ops?

Total Ops is a UK software company. Its AI software reads, actions and completes customer enquiries across WhatsApp, email and website chat for small and mid-sized businesses — creating quotes, bookings and invoices from the messages customers already send.

Total Ops was formerly known as TotalOps Automation; it is the same company under a shortened name. It is unrelated to any other product or service that happens to share a similar name.

Why we exist

In most small and mid-sized businesses the work is not the problem — the enquiries around it are. Messages arrive on WhatsApp at 9pm, in a shared inbox at 6am, and through a website form in the middle of a job. Whoever replies first usually wins the work, and that rarely favours a team of three already on site.

We built Total Ops so those enquiries arrive already handled: read, understood, priced from your own material, booked into your own diary, and reported back in the same thread the customer used. Your team reviews and leads. The admin runs itself.

The important part is that we are not an autoresponder or a chatbot. Those tools produce a message; we produce the finished work behind it. Our AI uses machine learning and artificial intelligence techniques to interpret intent, extract details and take real actions inside your systems. If nothing changed in your systems, we do not treat the enquiry as handled.

Three channels, done properly

WhatsApp, email and website chatbot. We would rather cover the three places enquiries actually land than spread thinly across a dozen.

WhatsApp

The fastest, least formal channel and the one most businesses drop. Enquiries are read, priced and booked in-thread, with photos and voice notes interpreted rather than ignored.

Email

Shared inboxes where long threads and attachments pile up. Quotes are built from the actual specification in the message, with the right documents attached automatically.

Website chatbot

First contact from people still comparing options. Instead of collecting a name and vanishing, it returns real prices and real availability while the visitor is still on the page.

All three feed one customer record. A WhatsApp message on Monday and an email on Thursday from the same person are one conversation with one history, so nothing is re-quoted, double-booked or asked twice.

How the AI technology actually works

Agentic artificial intelligence with strict boundaries — language models read and write, your data decides.

We use frontier AI and large language models for the part they are genuinely good at: understanding messy human language, extracting what someone is actually asking for, reading attached photos and documents, and drafting a reply that sounds like your business rather than a template. Machine learning helps the system improve from corrections and past replies without ever training shared models on your data.

Around that sits the agentic layer, which is where the real work happens. Each enquiry becomes a plan of steps. Each step is a live tool call into a real system — pull the rate card, check the engineer's diary, create the quote, write to the CRM, raise the invoice. Every field is validated before it is written, every action carries a confidence and value threshold, and anything above your limits waits for a human.

Prices come from your rate card, never from a model. Availability comes from your live calendar. History comes from your CRM. That boundary is deliberate: it is what makes autonomous actioning safe enough to switch on.

From TotalOps Automation to Total Ops

We used to be called TotalOps Automation. Here is how the business, and the name, changed.

    We started as TotalOps Automation

    The original business, TotalOps Automation, built workflow automations for small teams drowning in admin — connecting inboxes, CRMs, diaries and accounting tools so repetitive steps ran themselves.

  2. The shift

    Automation was not the bottleneck

    Customers did not just need steps connected. They needed the judgement in the middle — reading an enquiry, understanding what was being asked, pricing it correctly and deciding what to do next. That required an AI and artificial intelligence layer, not another integration.

  3. Now

    We became Total Ops

    The name shortened to Total Ops to reflect the wider remit: not automating tasks around the enquiry, but running the enquiry end to end across WhatsApp, email and website chat using AI and machine learning. Same team, same customers, broader product.
